Inspect physical condition
Understand current defects and future capital needs.
- Evaluate foundation, roof, drainage, structure, HVAC, plumbing, sewer, electrical, appliances, windows, exterior, safety items, and deferred maintenance.
- Request maintenance history, permits, warranties, insurance loss runs when available, open claims, unresolved claim work, open code issues, and recent estimates.
- Review property-specific compliance questions involving smoke alarms, required security devices, habitability conditions, and lead disclosures when applicable without assuming a legal conclusion.
Review leases and tenant records
Do not rely only on a rent figure.
- Review current occupants, authorized occupants and pets, leases, amendments, expiration dates, rent amounts, payment history, concessions, delinquencies, lease violations, pending notices, unresolved maintenance requests, tenant obligations, and owner obligations.
- Reconcile the rent roll to leases and available payment records; review the security-deposit ledger, deposit transfer or closing credit, prepaid rent, tenant concessions, and prorations.
- Do not contact tenants directly without seller authorization and appropriate coordination.
- Review tenant acknowledgments or estoppels when appropriate and recommended by qualified counsel; do not assume they are universally required.
Verify income and expenses
Ask for source documents when practical.
- Review operating statements, taxes, insurance, utilities, repairs, maintenance, lawn, pool, pest, management, leasing, association fees, and service contracts.
- Separate recurring operating expenses from capital improvements and owner-specific costs.
Check restrictions and agreements
Legal use and operating flexibility matter.
- Verify zoning and use, rental and association restrictions, applicable registration, inspection, occupancy, licensing, short-term-rental, permit, and local code requirements.
- Review management agreements, service and vendor contracts, warranties, personal property, appliances, and continuing obligations, including assignability, termination rights, fees, and notice periods.
Coordinate independent review

- Prepare questions for inspectors, insurers, lenders, property managers, attorneys, tax advisers, and other qualified professionals.
- Confirm insurability, projected premium and deductible, and how any open claim or unresolved work will be handled.
- Keep a written list of assumptions requiring verification and identify who will verify each one before the applicable deadline.
